Secure signing of employee agreements with SMS PIN

Creating a more secure signing process is easy with Scrive. With a Scrive Business plan, you have the option to add SMS as a two-factor authentication for viewing the agreement, signing it and then viewing the finalised version.

Why should you use SMS PIN for employee agreements?

Employee agreements usually include sensitive information such as personal numbers and salary information. When adding SMS to your process, you will add another layer of protection to the contract, and combined with an eID increase the level of security and ensure that only authorized personnel can access the document.

Scrive recommends using SMS PIN in combination with an eID, for example, BankID. The SMS process will allow you to view the document and then sign with the eID verification.

Using SMS is not only relevant to HR contracts but all contracts containing sensitive and personal data.

Benefits of using SMS PIN

Using SMS PIN is convenient and fast, you always have your mobile phone close to hand.
SMS PIN is a great alternative to securely send documents to countries where no eID is implemented. With Scrive you can send SMS to mobile phones in over 80 countries.
SMS PIN can be used to meet regulatory requirements for electronic signatures.

FAQ

What is the cost of using SMS in Scrive?

Using SMS comes with an additional cost per transaction. Contact sales to know more.

How does two-factor authentication work?

When SMS is added to the process the signing party will receive a PIN code to their mobile device. It’s an OTP (One Time Password) and will only be valid for a short period of time.

What is a One Time Password (OTP)?

An authentication code that in most cases can only be used once and has a limited duration of validity. PIN by SMS is a typical example of a OTP.

Is PIN by SMS supported in every country?

Scrive can send PIN by SMS codes to mobile phones in over 80 countries. For others, some restrictions may apply.

Can you sign a document with PIN by SMS?

Strictly speaking, when you sign a document with a code sent to you by SMS, the function of the code is not to sign but to provide additional assurance of your identity.

Authentication to view/sign/open with SMS

When setting up a document for signing, you have the option of adding an authentication requirement for your parties. This means that the party in question will need to verify their identity before proceeding to either view, sign, or open an archived document.

View: authentication is needed to open and read the document upon invitation.

Sign: authentication is required to sign the document.

Archived: authentication is required to open the sealed document, after the signing process is completed, in the Scrive E-archive.

Use SMS as a invitation/ confirmation method

To design your process according to your needs, you can choose between different invitation and confirmation methods. These settings are found under the Parties tab when you set up a document for signing.

Invitation decides how a party will be notified when they are invited to view/sign/approve your document. If you choose sms or email and SMS an invitation is automatically sent to the party’s mobile number.

Confirmation decides how a party will be notified when the document has been signed and the process is completed. If you choose sms or email and SMS, an automatic confirmation message will be sent via SMS, including a link to the signed document.

Custom invitation/ confirmation SMS

If you do not wish for a standardised message to be sent out when sending an invitation or confirmation through SMS, you can activate the option of sending a customised text. To use this feature, reach out to your customer success manager or [email protected]
